Your venue will ask for a final headcount, and the only reliable way to get one is to ask guests to RSVP. It sounds simple, but every couple ends up chasing a handful of people. A clear deadline, an easy way to reply and a polite follow-up plan make the whole thing painless.
Why RSVPs matter
- Money. Catering is priced per guest, so every no-show costs you.
- Seating. You cannot build a seating chart without knowing who is coming.
- Logistics. Meal choices, dietary needs, children and transport all depend on it.
Make replying effortless
The fewer steps, the more replies you get. The best option is a button right on the invitation:
- Joyfully accepts, with the number of people attending.
- Regretfully declines.
If you need more, add one or two questions such as meal choice or dietary requirements. Keep it short; three questions is plenty.
Setting the deadline
Set the RSVP deadline about one week before your venue's headcount deadline. If the venue needs numbers two weeks before the wedding, ask guests to reply three to four weeks before.
Put the date clearly on the invitation: "Kindly reply by May 10."
Following up with late guests
There will always be a few. Do not assume silence means no.
- A day or two after the deadline, send a friendly note: "Just checking whether you'll be able to make it. We're finalizing numbers with the venue this week."
- For older relatives, a phone call often works better.
- Ask a parent or friend to help with their side of the list if it is long.
