The 12-Month Wedding Planning Checklist: What to Do and When

A month-by-month timeline from the engagement to the week of the wedding, so the things that book up early get done early.

Wedding planning is rarely hard because of any single task. It is hard because so many tasks overlap. The simplest fix is to plan by milestone: book the things that sell out first, and leave the things that depend on other decisions until later. This checklist assumes about twelve months. If you have six, combine the first two sections and work on them in parallel.

12 months out: the big decisions

  • Agree on the size and style of the wedding: city or destination, formal or relaxed, roughly how many guests.

  • Draft a guest list to estimate numbers.
  • Pick a few possible dates. You will need them when talking to venues.

9–10 months out: book what sells out

  • Book the venue and sign the contract.
  • Book the photographer and videographer.
  • Book the officiant if your venue does not provide one.
  • Book music: band or DJ.
  • Send save-the-dates, especially if many guests need to travel.

6–8 months out: attire and details

  • Choose and order the dress and suits. Made-to-order dresses can take months, plus alterations.
  • Book hair and makeup and schedule a trial.
  • Choose a florist and discuss the look.
  • Plan accommodation blocks for out-of-town guests.

3–4 months out: invitations and menus

  • Finalize the guest list.

  • Do the menu tasting with your caterer.
  • Order the rings.
  • Plan transport on the day.

6–8 weeks out: send invitations

  • Send invitations to all guests, with an RSVP deadline about three to four weeks before the wedding.
  • Confirm details with every vendor in writing.

1 month out: confirm numbers

  • Give the final headcount to your venue by the deadline in your contract.

  • Final dress fitting.

The final week

  • Prepare envelopes with vendor tips and final payments.
  • Confirm arrival times with every vendor.
  • Hand a point person your timeline and vendor contacts so you are not the one answering calls.
  • Pack an emergency kit: safety pins, stain remover, painkillers, phone charger, snacks.
  • Sleep. It sounds obvious, and it is the step most couples skip.

After the wedding

  • Settle final balances.
  • Note who gave what, while you still remember.
