Seating charts have a reputation for causing stress, but they do not have to. You do not need to assign every chair. Assigning tables by group already makes the reception feel organized, and guests feel looked after.
Start with the floor plan
Ask your venue for the layout: where the head table or sweetheart table goes, the dance floor, the bar, the exits. Number every table. From there, seating is just matching groups of guests to table numbers.
Table priorities
- The couple: a head table with the wedding party, or a sweetheart table for two.
- Parents and grandparents: close to the couple with a clear view, but not right next to the speakers.
- Close family, then family friends.
- Friend groups, often near the dance floor.
- Coworkers and other guests at the remaining tables.
Group people who know each other
The golden rule: everyone at a table should know at least one other person. Use the groups from your guest list: college friends, work friends, cousins.
If a group has twelve people and your tables seat ten, split them across two neighboring tables and mix in guests who will get along with them.
Situations to watch for
Single guests. Seat them with people they know, not at a table of couples they have never met.
Families with small children. Near an exit, so they can step out easily. Ask the venue for high chairs.
Older guests. Close to restrooms, away from the loudest speakers, with an easy path to their seats.
Guests who do not get along. Not at the same table, and ideally not at neighboring tables either.
Make it easy on the day
- A large seating chart at the entrance, sorted alphabetically with table numbers.
- Escort cards or a printed list for whoever is greeting guests.
- Table numbers big enough to read from across the room.
